I have an urgent issue regarding my trip.
If you cannot locate on-trip staff and the office is closed, email info@campusvacations.com with the subject line URGENT/ON TRIP. Please include your cell phone number in the body of the email, and someone will email or call you back as soon as possible.
Where can I find info about trips?
On the CV homepage, use the CV Trip Finder by selecting the appropriate drop-down fields to narrow your search. Make sure the trip you choose reflects your correct departure location. Click More Info to view trip info.
I'm not a student in university/college. Can I go on a trip?
Yes! You do not need to be a student, however, you must be 18 years of age or older to travel with us.
How do I book a trip?
1. If you don’t have an existing account with Campus Vacations, create one at www.campusvacations.com/login.
2. In the CV Trip Finder on our homepage, select the appropriate drop-down fields to find your trip. Make sure the trip you choose reflects your correct departure location.
3. One person (the Group Leader) will create the group by clicking Book Now, followed by Create a Group. If your group has already been created by your Group Leader, click Join a Group or click on the link in your invitation email and follow the on screen instructions.
4. The group is confirmed once the Group Leader's payment is made.
5. During group creation, the Group Leader will enter all group information; begin by selecting the amount of people in your group.
6. Select your accommodation type and group options.
7. Enter the names, email addresses and phone numbers of your group members. All group members will receive an email with a link to join the group. Alternatively, a group member can use the CV Trip Finder to locate the correct trip, click Book Now and select Join a Group, where they'll be prompted for their email address.
8. Select your individual options. Each group member will go through the booking steps, select their individual options, and pay for their portion of the trip.
How does rooming work?
All CV trips are booked as a group, not individually. Advertised prices are based on maximum room occupancy - if your group is less than your selected room's maximum, a 'missing person' fee will be incurred.
My friends and I go to different schools, can we still book on the same trip/room together?
As long as your departure regions are available on the same trip, then yes. On the CV homepage, use the drop-downs to locate your trip. Click into More Info to view all the departure regions for your trip.
Where can I view my order summary, make changes and/or make payments for my trip?
Log onto your CV account and click into Active Trips in your My Account page to view or change your current trip order. In the top right-hand corner, you can also click View Receipt/Payment History to view any payments you have made towards your trip.
How do I change my room type (upgrade/downsize)?
Only the Group Leader has this ability. This change can only be made prior to the Payment Deadline without penalty. First, ensure that your group size is equal to or less than the stated group maximum of the new room type (if you’re downsizing, delete unpaid members from the group), and then you’ll be able to change your room type by editing Accommodations on your My Account page. This change may result in an additional cost. The option change is confirmed once the full payment is made, or once you accept a refund. If it is past the Payment Deadline, please email info@campusvacations.com to request this change. An administrative fee will apply; changes are based on availability and are not guaranteed.
How do I add/remove someone from my group?
Only the Group Leader has this ability. If you are the Group Leader, log onto your CV account and click into your Active Trips. Below your listed group members, there is a button to Edit members. Simply change/add/delete any group member’s name and email address in that section. This can only be done if you do not have an pending/outstanding balance. In the case where you have a pending/outstanding balance, please email info@campusvacations.com with the names and emails of the group members that you want to edit. This change can only be made 30 days or more prior to departure without penalty. Within 30 days of your departure, a $25.00 administrative fee will apply to each individual change of group members.
What is the 'missing person' fee?
Missing person fees vary depending on trip and are charged for each missing person under the group maximum for a specific room type. The formula is: $XX.XX per missing person, per night, plus any group options and room upgrade fees, divided amongst the remaining group members plus taxes.
EXAMPLE: Your group of 5 is booked on Trip A, a 2 night trip and are staying in an upgraded suite that holds a maximum of 6 people. This suite has an upgrade charge of $10/person/night, and Trip A has a missing person fee of $50 per missing person per night. The total missing person fee for your group is $120 [($50 + $10) x 1 missing person x 2 nights], divided among the 5 people in the group. The resulting missing person fee equals $24/each plus taxes.
How do I change groups?
If paid: This change can only be made 30 days or more prior to departure without penalty. In order to leave your current group and join another group, please email info@campusvacations.com
to request this change. If you are within 30 days of departure a $25.00 administrative fee will apply to make this change.
If unpaid: This change can only be made 30 days or more prior to departure without penalty. Have your current Group Leader delete you from their group, and the new Group Leader invite you to their group using the email address associated with your Campus Vacations' account. If you are within 30 days of departure, a $25.00 administrative fee will apply to make this change.
How do I add/remove individual options? (Lift tickets, breakfast, equipment rental, etc.)
Log onto your CV account and click into your Active Trips. Under the section Individual Options, you are able to add/remove individual options. The option change is confirmed once the full payment is made, or once you accept a refund. If you are within 30 business days of departure, we are unable to change these options. Most add-ons are available on-trip at an additional cost.
Where/when do I get my tickets/vouchers/wristbands?
Your Group Leader will receive these items at check-in.
How do I see available buses for my trip?
On your My Account page, once the Buses Viewable date has passed, you can view all available buses for your trip.
Do I select my own buses or does my Group Leader choose them for me?
We give you the flexibility to do either. Once the Buses Available date has passed, either you or your Group Leader have the ability to select your buses beginning on the Bus Selection date.
I missed the Bus Selection period.
If you have missed the Bus Selection period you will be automatically placed on a bus. The bus departure time and location will be available for you to view on your Travel Itinerary in your Active Trips. The bus departure time and location will also be emailed to you.
I want to switch my bus.
Within same departure region: This change can only be made 30 or more days prior to departure without penalty. If it is within 30 days of your departure, a $25.00 administrative fee will be applied for the change; email info@campusvacations.com to request the change. This option is for those looking to change their bus within the same departure location. Changes are based on availability and are not guaranteed.
Changing departure region: This change can only be made 30 or days prior to departure without penalty. Log onto your CV account and click into your Active Trips. In the left hand column, you will see your Travel Itinerary. Click Edit to change your departure location. This change may result in an additional cost. The option change is confirmed once the full payment is made, or once you accept a refund. To make this change within 30 days of departure, a $25.00 administrative fee will be applied for the change; changes are based on availability and are not guaranteed. How do I add/remove round-trip transportation?
This change can only be made 30 days or more prior to departure during the Bus Selection period without penalty and subject to availability at the time of the change. Log onto your CV account and click into your Active Trips. In the left hand column, you will see your Travel Itinerary. Click Edit to add/remove buses. The option change is confirmed once the full payment is made, or once you accept a refund. If you are within 30 days of your departure, you can remove round-trip transportation from your trip order, however, no refund will be issued for the cost of the transportation.
I only need to take the bus one way.
There is no discount for one-way transportation.
Why am I being charged a late payment fee?
Any payments made after your stated Payment Deadlines will be charged a late payment fee. Late payment fees are as follows:
- After Payment Deadline, 30 days or more prior to departure: $15.00
- After Payment Deadline, within 30 days of departure: $25.00
CV maintains the right to cancel reservations made by any group or group members that are not paid for in full by the Payment Deadline. The remaining group members are responsible for any resulting missing person fees.
I have paid and am no longer attending the trip, how do I get a refund?
If you have purchased Travel Insurance, read through your policy to determine if you’re eligible reason to make a claim. You can make a claim by calling: 1-866-648-8425. You will need an Insurance Reference Code, Policy Number and Agency Number. Please contact info@campusvacations.com
to obtain these numbers and to formally cancel your trip order in writing as per the CV Cancellation Policy.
If you did not purchase Travel Insurance or your reason for cancellation is not covered by insurance, the Cancellation penalties are as follows:
For Trips not containing a flight portion:
- 60 days or more prior to Trip departure: 50% of total Trip cost
- 60 days or more prior to Trip departure with replacement person = 100% refund of total Trip cost, less $25.00
administration fee
- 59 days or less of Trip departure = 100% of total Trip cost
- 59 days or less of Trip departure with replacement person = 100% refund of total Trip, cost less $25.00 administration fee
For Trips containing a flight portion:
- 90 days or more prior to Trip departure = 50% of total Trip cost
- 89 days or less of Trip departure = 100% of total Trip cost
- Name changes are not permitted for Trips containing a flight portion
In any circumstance, please email info@campusvacations.com to formally cancel your trip order in writing as per the CV Cancellation Policy.
I don’t have a credit card for the security deposit.
If no one in your group has a credit card with $500.00 available for authorization for the security deposit, you have two options:
a) You may use a parent’s credit card with their written permission. Scan and email (or fax) the completed check-in form, along with a copy of the front and back of the card, to info@campusvacations.com (or fax to 416.477.2378) and bring a copy to check-in.
OR
b) Each group member can pre-pay $100.00 on your trip orders using Visa, MasterCard or Interac Online. After the trip is complete, you will be refunded the $100.00 deposit, minus any room charges or incidentals. Contact info@campusvacations.com to pre-pay your deposit.
How do I add/remove travel insurance?
Travel insurance is NON-REFUNDABLE and can be added to your trip order at any time. Log onto your CV account and click into your Active Trips. You are able to add and pay for your travel insurance under Individual Options. The option change is confirmed once the full payment is made. A copy of the travel insurance policy will be emailed to you upon purchase of the product.
